Review, respond and route confidential and sensitive matters on behalf of the Director’s office containing personnel, legal and politically sensitive information. Manage and coordinate Director’s calendar and communications. Schedule agenda development and minute taking at high level internal and external meetings. Attend, record, prepare and communicate meeting minutes, provide support to Leadership. Track action items and communicate status with Director. Coordinate, direct and organize administrative functions to assure objectives are met for Director’s office. Provide direction of administrative activities, maintaining a system focus and organizational consistency. Monitor workflow and outcomes to assure deadlines are met and priorities are aligned. Provide support with annual planning and process management. Facilitate and coordinate follow up between department and county staff. Work with stakeholders to ensure alignment and coordination of communication of equity work department-wide. Coordinate preparation of personnel action and performance appraisal forms and actions to reflect hires, promotions, terminations and other personnel actions. Assist with personnel matters, including labor issues, grievances, and risk management; provide/coordinate staff recruitment and training. Triage client complaints; speak with clients to determine issue and clarify what resolution is desired, contact appropriate person to resolve issue and notify Director as needed. Institute new and revised procedures to increase office efficiency and effectiveness. Recommend organizational and procedural improvements and modifications affecting support activities. Manage and facilitate information, communication, and workflow between the Director and department leadership, operations supervisors, other staff and external agencies and boards.
