Dec. 2021 - Dec. 2023As a member of the Project Management Unit, the PO works closely with Operations and Corporate teams as well as project delivery and technical teams in field offices and provides project and operational support to the delivery of multiple USAID funded projects including multi-year MEL frameworks. Responsible for tasks across project management support, project delivery, team delivery, financial management, procurement planning, compliance, and knowledge management. Spearheads the design, testing and implementation of internal projects such as new systems, processes and tools. Ensures the smooth deployment of staff, consultants and resources through the procurement of flights, visas, letters of entry, consultant deployment checklists, and movement of funds. Manages consultant contracts, tracking delivery time and collating timesheets. Liaises with consultants and clients to prepare and process timesheets and invoices. Keeps up to date on key USAID rules and regulations, especially as relates to procurement, travel, and key personnel, and ensures any necessary approvals and/or waivers have been received. Drafts key client documentation, including travel authorization and rate approval requests. Maintains project-specific and company-focused digital knowledge management platforms (Podio). Maintaining streamlined and well-organized electronic project folders on SharePoint. Oversees project-level procurement planning, maintaining visibility of ongoing and upcoming procurements. Ensures all procurements follow internal policies and comply with relevant client regulations. Support the financial administration of projects, including managing invoicing processes, expenses reconciliation and budget management and reporting. Actively supports risk management, including identification and logging of risks according to company standard operating procedures. Maintains a relevant contextual understanding of projects. Supports Due Diligence and vetting procedures.
