• Answer phones (main line as well as Executive lines) • Manage calendars for all Executives
• Troubleshoot and solve basic computer, communication and administrative problems as they arise
• Travel arrangements for all Executives including air, hotel, car service, etc. • Both complex domestic and international
• Process VISA applications for international business trips
• Submit expense reports for Executives
• Approve Expense reports on behalf of Executives
• Monitor Purchase Requisitions for Executive approval
• Arrange meetings with customers at Executive level
• Maintain Contacts database
• Point of contact for Board of Directors
• Arrange Quarterly Board Meetings (including Board Dinners, travel for all Board Members, etc.)
• Act as a point of contact between employees and Executives
• Facilitate company-wide announcements/communications from Executives
• Receive invoices for payment
• Submit facilities requests to Property Management for problems in the building
• Keep common areas organized and clean
• Works directly with Security and Facilities Manager to ensure office is running smoothly
• Works directly with Finance and HR to ensure policies are in place and that they are followed
• Order lunches for internal meetings
• Assist with miscellaneous confidential requests from HR
• Work with new employees and introduce them to key people in their organization
• Assist with different aspects of training for new employees
• Supervised 2 Administrative Assistants
• Kept floor plans up to date
• Manage conference room availability
• Assist with special projects
