₋ Practice and promote company culture within the team, encourage employee engagement and contributions to the organization.
₋ Work closely with CEO/COO to develop and implement Company policies, including C&B policies, Loyalty Reward programs, Health Care & Insurance Package, etc.
₋ Support the CEO/COO in developing and maintaining the organizational structure, streamlining operations, and optimizing workforce resources.
₋ Act as a key person in interpreting CEO/COO’s instructions to employees and deliver the results.
₋ Manage of company forecasts, reviewing operational expenses and budget adherence to maintain financial stability.
₋ Manage employee benefits programs to enhance morale, engagement, and overall employee satisfaction.
₋ Control and optimize office administrative expenditures.
₋ Manage internal HR analyze reports, including turnover rate, cost per headcount, retention metrics, benefits utilizations.
₋ Standardize employment procedures and working templates.
₋ Detect, provide the solutions for any compliance concerns, and coordinate corrective action plans.
2. Compensation & Benefits:
₋ Direct and manage C&B programs, including monthly payroll, SHUI, PIT, bonuses and welfare programs.
₋ Ensure C&B decisions complied with Vietnam Labor Laws and relevant regulations.
₋ Prepare and maintained all documentation required for policies implementation.
₋ Lead benefits and insurance reviews, including contract renewals, negotiations, and vendor management.
₋ Oversee payroll activities and ensure full compliance with tax-related requirements.
₋ Manage periodically statutory reports for relevant authorities.
₋ Supervise the Trade Union operation in accordance with regulations, maintain fairness and align with company development plans.
3. HRMS database system:
₋ Manage employees database and all related required personal documents, labor contracts, employment records and attendance data.
₋ Collaborate with HRMS internal software developing team to identify solutions, improve the system capabilities to meets current or future operational needs.
₋ Take responsibility in granting appropriate permission to end users on HRMS system.
₋ Ensure all legal hard-copy documents are stored for further audits or inspections, in accordance with confidential data protection and mandatory record-retention regulations.
4. Employee relations, Recruitment and Training:
₋ Advise and clarify employees’ concerns on Labor regulations, collective agreements, benefits and compensation policies, personnel procedures.
₋ Maintain a friendly and disciplined workplace, encourage mutual support, collaborations and open-mind to improvements.
₋ Conduct recruiting such as post jobs, screen CVs and first-round interviews, to sort out suitable candidates.
₋ Manage all onboarding and offboarding processing, orientation training in line with internal framework and regulations.
₋ Engage Team’s knowledge and skills training through case study, researches related to Employment topics.
5. Accounting:
₋ Act as the main point of contact for communicating between Board of Managers and Accounting team, regarding tax policies, accounting entries.
₋ Update and advise the Board of Managers on changes in Tax regulations and Accounting practices.
₋ Build in-house Accounting team and supervise daily operations.
₋ Develop internal procedures and monitor compliance when executing payment orders.
₋ Ensure payment orders and booking vouchers comply with documentation regulations and Tax laws.
₋ Allocate source of expenses to optimize Tax amounts.
₋ Participate in annual financial audits, transfer pricing profiles, Tax inspections, and VAT refund audits.
₋ Review internal reports on business performance and advice on how the information is presented.
6. General affairs:
₋ Plan and execute all company-wide events, strengthens employee engagement and promotes company culture.
₋ Lead the Office Administrations and Facilities team, ensuring efficient day-to-day operations.
₋ Manage office equipment, stationery and assets maintenance schedule.
₋ Ensure timely processing of TRC, Visa, Work permit and Labor contract for expatriate employees.
₋ Handle all matters related to oversea and domestic business trips.
₋ Work closely with Marketing team on organizing the internal events, develop and maintain Company profile, ensure the consistent and professional representation of the organization.
