May. 2016 - Oct. 2018Provide administrative service support to the branch chief and branch of 21 occupational safety and health professionals. Use Access and Excel skills to create, and maintain databases to improve branch budget and respirator approval program documentation. Databases created include a Technical Assistance database to collect and manage questions from respirator stakeholders including manufacturers and users.
Developed an extensive Excel workbook to track and maintain the branch budget allowing project officers and branch leadership to track monthly spending and better manage and balance the annual budget. Prepare, submit, and maintain travel records for travelers, including foreign and domestic trips. Responsible for entering requisitions into the ICE purchasing system, as well as receiving items in the same purchasing system. These items are also tracked in the budget spreadsheet I created. Provide detailed review of conformance and nonconformance letters to respirator manufactures, letters to interested parties and branch policy documents. Review includes checking for grammar, improved and consistent formatting.
Assist in the preparation of meetings for the branch as well as manufacturer meetings. Keep records of attendee lists, and accommodations. Receive visitors when necessary.
Daily activities include answering the switchboard phone line, and directing callers to the subject matter experts to respond to the inquiry. Receiving mail, and ensuring the proper delivery. Maintaining schedules for the Branch Chief, and conference meeting room or rooms?.
Attend branch and working group meetings to provide accurate meeting minutes. Turnaround time for meeting minutes is 48 hours.
Utilize skills in Outlook to manage meeting space, out of office, and telework calendars.
