Mar. 2015 - Oct. 2016Cardiff, United KingdomThe primary purpose of my position is to act as the primary contact for both our primary clients (choir secretaries) as well as our secondary clients (general public). Most of the communication takes place over emails as choirs will be coming from all across the world to take part. Queries at this early stage consist of: Registration information; Repertoire; Age restrictions; Choir capacity restrictions. I am also responsible for maintaining accurate records of contact details including the primary contact name and details as well as the number of choir members for each individual choir. In addition to maintaining contact records, I am also responsible for keeping financial records - which choirs have paid, how much, method of payment, etc. Registrations are done online so this requires daily access to the back end of the website to monitor any new payments. Payment of the registration can be done by cheque, direct debit, or through our website. Invoices can also be requested. Although I do not have access to the banking information, I am responsible for liaising with the company accountant to balance the books, issue invoices, issue refunds, chase unpaid invoices, as well as any financial queries a choir might have. All of which are then entered into the record for future audits.

Oct. 2013 - Sep. 2017Cardiff, United KingdomMy role in Young Voices is to assist schools, teachers, and venues and equip them with the tools to navigate the challenges of their involvement and maximize their experience at the concerts. At this point in our season I work with the website designer in Madrid to prepare the website for the next season. My knowledge of our CRM system (NetSuite), FAQs, and process that the office use, as well as the brief knowledge of the website itself, allows me to give detailed instructions towards what we are expecting the website to do/look like. As the year progresses I provide administrative support to our two Choir Coordinators. This includes (but is not limited to) order processing, banking, filing, data cleanse, KPI and Sales Reports as well as manage an online teacher community (Yammer) scheduling posts that act as reminders for what is coming up as well as be the primary contact available for instant messaging. In preparation for the concerts as well as on tour, my role with YV morphs to start working directly with manufacturers, arenas and their in-house staff. My biggest responsibility is our merchandise. Leading up to the concerts I work with arena merchandise teams to arrange which products at which price are to be sold - taking into account the online shop. I also work closely with our merchandise manufacturer, analysing any last minute sales to determine stock and availability that will be at the arena for purchase. Then at the end of tour I work with the company accountant, balancing the sales against the venue's deposit. On the day of each concert I work with the arena's box office to arrange any complimentary tickets. For those venues that have VIP boxes, these venues require the additional arrangement of tickets, and wrist bands in order for these guests to pass through security. At the end of the night I assist with the dismissal of both the audience and the choir. Taking care to follow both the venue's health and safety policies as well as YV's.

Aug. 2009 - May. 2012Bluffton, OhioMy primary role was to manage the front of house for all five Artist Series events each school year. This included attracting and training volunteers to act as stewards, door hands, as well as pass out programs. Volunteers were mostly taken from Bluffton University Music Majors but there would be the occasional volunteer from another department. For each of these events promotional materials, including pamphlets and posters, needed to be distributed throughout the local community. A list of local businesses throughout down-town Bluffton as well as all public notice boards around campus would receive a poster. Due to each poster being concert specific, I would then need to collect the posters from around campus at the end of the event. Although the Artist Series Coordinator and Director were responsible for the performers and their needs, I was responsible for liaising with back stage as well as the sound booth to coordinate when the general public could begin taking their seats. Making sure that the performers were happy with their sound check and ready for the house to open. When needed, I would assist with the planning and implementation of school day visits. This could range anywhere from a Brass Day where local Elementary Schools discovered the brass family of instruments to hosting a potential music major - giving a tour of the department, inviting them to a concert, and sometimes offering my room as accommodation. As part of the position, I was asked to sit in on annual board meetings. At these meetings the next series' artists were decided. My primary role was to provide an opinion from the view of the student body - what was or was not liked from previous years, what the students would like to see, etc. I would also design a bulletin board within the music department, highlighting that year's Artist Series performers.

May. 2009 - Oct. 2010Findlay, OhioWhilst interning for The Arts Partnership, most of my duties pertained to the Summer Outdoor Events, which included: Boogie on Main Street; Rib Off on Broadway; Riverside Wine Festival; Courtyard Concert Series. For each of these events I designed and distributed promotional materials including pamphlets and posters. Each event has their own set of branding that needed to be adhered to in order to be recognized. Once printed the promotional materials needed to be distributed all throughout down-town Findlay as well as several key locations throughout Hancock County. In addition to providing some logistical input, I was also involved on the day with set-up, volunteer assignments, cash handling, tear-down, and was even a judge for a music competition held during the Rib Off on Broadway. During the autumn and winter months, The Arts Partnership focuses on an Entertainment Series held at several venues across Hancock County, with the primary venue being the Marathon Centre for the Performing Arts. For each event I would assist with Front of House duties including stewards, box office, and curtain call. When needed I would also provide concierge services to performers including pick up/drop off from their hotel, updating them on timings, making sure they had enough food and drink, as well as act as a body guard of sorts when fans were anticipated. When the office was between concerts or festivals I would assist with general clerical duties. Making copies, answering phones, and organizing records took up most of my time. I would also assist the box office with duties dependent upon work load as well as substitution during an absence or holiday. The Arts Partnership operates as the box office for several events in addition to their own, including: Fort Findlay Playhouse; Youtheatre; ArtWalk; Classes & Workshops; Hancock County Children's Choir. I also had the priveledge of sitting in on monthly board meetings. Mostly to observe.
