Aug. 2019 - Aug. 2021Greater Boston Area• Administratively support the Chief Operating Officer in a one on one working relationship while serving as the primary point of contact for internal and external parties on all matters pertaining to the office of the COO.
• Manage the COO’s complex and fluid calendar including bi-weekly/monthly meetings with direct reports, members of the executive leadership team, institute donors, and other high priority stakeholders.
• Act as a “barometer”, having a sense of issues, activities, and concerns within the institute and keeping the COO informed.
• Serve as the “gatekeeper” to the COO’s office, creating strategic opportunities for the COO to collaborate with both internal and external entities and ensuring that their schedule remains on track daily.
• Work with a cross-functional mindset to assume primary responsibility for projects and initiatives as directed. Initiatives include the coordination of executive recruitment efforts, such as the administrative organization of search committees, budget tracking, and workflow management.
• Work closely and effectively with the COO to keep them well informed of upcoming commitments and responsibilities and following up as directed.
• Oversee the administrative operations within the office including budget development, workflow, preparation of briefing and presentation materials, agendas , convening meetings, and providing meeting de-briefing and follow up support.
• Responsible for coordinating complicated domestic and international travel arrangements.
• Conduct preliminary research on an array of topics and draft materials as needed.
• Track and reconcile monthly credit card statements and submit completed expense reports in a timely manner.
• Responsible for comprehensive event and meeting planning (both on-site and off-site), including day-of coordination and support from start to finish.
• Responsible for drafting and editing emails, offer letters, de-briefs, and newsletter contributions on behalf of the COO.
