Mar. 2020 - Mar. 2025Seattle, Washington, United StatesManage, prioritize, and maintain complex executive schedules, ensuring time is focused on critical, strategic issues aligned with commitments and business priorities. •Proactively coordinate annual calendar (ROB) for organization including operational planning, talent reviews, promotion reviews, WBRs, MBRs, QBRs •Partner with finance, HR, Legal, and cross-functional teams to support day-to-day and long-term priorities for executives and the business. •Plan, organize, and coordinate all leadership and team events including all-staff meetings, town halls, trainings, morale activities, leadership offsites, celebrations, holiday events, and business dinners. •Draft or maintain agendas for executive meetings, capturing action items and tracking deliverables and goals. •Compose or proofread a variety of communications on behalf of executives, including documents, internal communications, policies, or other printed or electronic materials. •Create, implement, and communicate new org wide procedures, processes, and scheduling best practices.
•Coordinate domestic and international travel arrangements, including booking airfare, hotel, and transportation. •Own expense management, ensuring executive expenses are submitted timely and within company policies. •Initiate purchase orders and reconcile invoices for products, services, and gifts adhering to company policies. •Manage confidential documents and team resources including team wiki, org charts, and email distribution lists.
