Conducts training of clerical staff within the district, including Information Systems Section staff for testing and training on Modified Automated Processing Accounting System modifications and/or other automated systems by acting as a liaison to the Information Technology section, testing the system, providing training on new software, etc. in order to ensure the system is working properly and to ensure employees acquire civil knowledge and stay up-to-date. Coordinates district reports by utilizing the Modified Automated Processing Accounting System in order to select and print daily reports. Integrates information by receiving supplemental documents, interpreting supplemental documents, and entering the supplemental documents into the Modified Automated Processing Accounting System, etc. in order to update the case status and take the appropriate action. Observes trends of key activities by gathering required information, analyzing the information, etc. in order to make a determination and report findings to a supervisor. Reports unusual activities (e.g., dealing with loss funds, dealing with an irate customer, etc.) by gathering required information, addressing and attempting to resolve the issue, etc. in order to report unusual situations to the supervisor and keep management up-to-date. Participates in the coordination and supervision of clerical procedures within the district by distributing work assignments, reviewing final work products for accuracy and completeness, etc. in order to ensure: employees are following departmental policies and procedures, training needs are met, a reduction of liabilities against the department. Completes special administrative support assignments as directed by the supervisor by gathering information, analyzing and interpreting the information, entering and reporting information in order to comply with special request from management. Relieves clerical staff within the district or bureau by reporting to another office and by performing required roles and responsibilities in order to provide coverage due to a staffing shortage. Processes various legal documents by preparing forms with complete and accurate information extracted from various sources, obtaining necessary signatures, attaching appropriate copies of requested records, and ensuring that the completed documents are received by or filed with the appropriate parties or jurisdictions within statutory time limits in order to comply with service requests and civil policies and procedures. Keeps records requiring specialized knowledge and some independent judgment in the selection, compilation, or computation of data to be included such as court orders, summons, petitions, and other legal documents by filing, storing, and maintaining hard-copy records; storing electronic records in the Modified Automated Processing Accounting System; etc. in order to adhere to departmental policies and established retention periods. Compares or separates documents in cases where specialized knowledge of the function and more routine checks for accuracy are involved, as in the auditing of computer receipts for fees collected by reviewing the receipt list, comparing the checks to the receipt list for accuracy, reviewing/comparing the adding machine tape to the receipt list, reviewing and comparing the deposit slip total to the receipt list total, etc. in order to verify the funds were accurately receipted. Operates office machines/equipment such as computer terminals that are incidental to the performance of other duties by using a scanner, fax machine, copy machine, calculator, postage machine, etc. in order to complete the required task.
