G4S is the largest security company in Africa and the largest private employer in Africa. •Electronic Calendar management • Liaise with the offices of Top Executives of companies to set up meetings. • Travel arrangements – visa applications, booking of flights, accommodation arrangements, forex, transfers etc. Travel includes local and international travel. • Liaise with Country Managers and counterparts in the Countries when the Executive Team plan to visit their country. • Taking minutes at various Executive Committee Meetings. • Maintaining an electronic Filing System. • Arrange the Annual/Quarterly Conferences/Forums including the Awards Event as well as year-end events. • Maintain contact details for the Executive Team and Country Exco for Africa and Middle East Regions. • Ensure weekly movements of Regional Executives and Country Exco are recorded and shared. • Support the Executives on a personal level as required. • Expense Claims and Credit Card reconciliation for Executives • Manage Petty Cash for the office • Arrange refreshments / catering for meetings and forums • Ad hoc duties and general office administration • Office Management for Regional office. • Cellphone management for local office. • Share important information i.e. appointments with all employees in regions. • Support Executive with Corporate Social initiatives. • Ensure monthly Regional trading is set up and country management are invited. • Manage the Exit Handover and Interview processes for HR. • Manage long service awards and gifts. • Generate Purchase orders. • Liaise with Finance/Payroll on payments required.
