Ensure data is entered into the system Ensure transactions are properly recorded and entered into the computerized accounting system. Prepare income statements. Handles information requests, performs some clerical functions such as preparing correspondence, receiving visitors, arranging and scheduling meetings. May also train and supervise lower-level clerical staff. Provide personal administrative support and assistance to executive staff. Prepare vacancy adverts, screen and recruit candidates for employment. Prepare schedule of duty and carry out orientation exercise for new staff. Manage and maintain executives schedules, appointment and travel arrangements. Arrange and co-ordinate meetings and event Open, sort, and forward to the admin assistant for distribution incoming correspondence, including faxes and email Coordinate daily the affairs of admin assistant, receptionist, cleaners and other subordinate staff and create appropriate salary scale, prepare monthly payslip, operational expenditures, salary advance for staff. Supervise secretarial work: answer telephones and transfer or take messages; manage the in/out faxing, emails and letters, maintains office records, filing and reference, etc. Monitor and appraise staff performance for promotion or salary increment and perform other related duties as assigned
