Jun. 2023 - Apr. 2025Pinehurst, North Carolina, United StatesPre-Occupancy and Inspection Tasks • Start-up operations for new site and building, final walkthroughs, punch list management. • Final inspections, permits, certifications, building meets all code requirements. • System testing and balancing of major building systems. • Review / organize construction, drawings, as-builts, EDS, and maintenance manuals. • Develop PM plan for equipment and systems. • Inventory assets, equipment, and systems, including warranties. Safety and Security Preparations • Implement security systems, access controls, CCTV, alarms, lighting, and key plans. • Develop and communicate emergency plans. Coordinate with local EMS. Train staff. • Ensure facility is compliant with safety standards. • Install, maintain, and inspect safety equipment. Staffing and Vendor Management • Determine staffing, hire, train, and assign roles. • Establish relationships with vendors and negotiate / manage contracts. • Establish and assess service KPI’s for performance reviews. Financial and administrative tasks • Develop operating budget to track and manage expenses related to maintenance, utilities, contracts, and administration. • Create process for tracking costs, purchase approvals, processing invoices, and preparing financial reports. • Set up utility accounts: Ensure utility services (water, electricity, gas, internet) are properly set up in the building's name. Record initial and track meter readings. Occupant readiness and relations • Deep cleaning: Coordinate a final deep clean of all interior and exterior areas before tenants move in. • Space planning: Finalize floor plans and layouts, and plan for any furniture or equipment installations. • Communicate with occupants: Distribute a move-in guide to tenants or new staff that explains building access, key features, and maintenance request procedures. • Follow up: Conduct a follow-up check-in with new occupants within the first 90 days to address any issues and ensure their satisfaction.
