Scheduling and Coordination: - Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors. - Prepare agendas and make arrangements for committee, board, and other meetings. - Coordinate and organize company events, conferences, and other functions. Communication: - Answer and direct phone calls to appropriate staff members. - Respond to emails, letters, and other forms of correspondence. - Act as the first point of contact for visitors, clients, and vendors. Documentation and Record Keeping: - Prepare and edit documents, reports, and presentations. - Maintain electronic and physical filing systems for organizational records. - Handle confidential and sensitive information with discretion. Financial Administration: - Assist with basic bookkeeping tasks such as processing invoices, expense reports, and budget tracking. - Prepare and submit purchase orders and other financial documents. - Handle petty cash and reconcile accounts as required. Support to Executives and Staff: - Provide administrative support to senior management and other staff members. - Manage calendars, schedule appointments, and handle travel arrangements for executives. - Assist with the preparation of meeting materials and presentations. Project Assistance: - Assist in the planning and execution of various projects. - Conduct research and compile data for reports and projects. - Coordinate project activities and ensure timely completion of tasks. Customer Service: - Provide excellent customer service by addressing inquiries and resolving issues promptly. - Maintain a professional and friendly demeanor when interacting with clients, customers, and staff. - Follow up with customers and clients as needed.
