• Consolidating Man-hours and preparing client invoices • Attend meetings, prepare agendas, take minutes of meetings and update action registers as required. • Format and prepare correspondence, excel spreadsheets, power point presentations and meeting materials as directed. • Organize meetings and related logistics for the project personnel, e.g. meeting rooms, IT Equipment, conference calls, etc. • Provides secretarial support and overall administrative support to the office;
• Assist in coordinating day-to-day related matters to the office of the Client /Managers/ Team Leaders including information flow, travel planning;
• Assist the General Manager with logistical arrangements for all aspects of travel;
• Ensure coordination within the Front Office and with other relevant staff on organizational matters pertaining to travel and meetings;
• Screens and prioritizes all incoming correspondence; compiles relevant background documents and references; identifies issues requiring the General Manager's attention and refers others to relevant officer for appropriate disposition; monitors and follows-up on actions to be
taken; • Draft and/or edit responses to a wide variety of correspondence and communications, including letters, notes and e-mails, while maintaining confidentiality of documents;
• Organizes official receptions, meetings, etc., handling all necessary arrangements;
• Prepares, processes and classifies confidential information;
• Handles a wide range of administrative duties/processes;
• Keep track of incoming and outgoing documents and establishes and maintains up-to-date files
• Exercises quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style.
