General Office Administration Oversee daily operations of the national office Manage office correspondence, filing systems, and document control Maintain updated records and databases for members, volunteers, and stakeholders Meeting Preparation & Coordination Prepare agendas, minutes, and supporting documentation for National Council, Executive Committee, and Standing/Ad Hoc Committees Schedule and coordinate online and in-person meetings Ensure timely distribution of minutes and follow-up on action items Communication Management Draft, proofread, and distribute official correspondence and reports Serve as first point of contact for internal and external queries Liaise between leadership, staff, members, and volunteers Project & Event Support Assist in planning and execution of national events, workshops, and meetings Coordinate logistics, travel arrangements, and venue bookings Monitor timelines and deliverables for event-related tasks Implementation of Resolutions & Policies Track decisions made at committee and council levels Ensure policies and resolutions are communicated and actioned appropriately Volunteer & Membership Administration Support communication with a network of Β±120 volunteers nationwide Maintain up-to-date member and volunteer records Assist with onboarding, support, and coordination of volunteers Remote Office Support Use of Microsoft Office, Teams, and cloud-based tools for remote collaboration Manage calendar scheduling, task tracking, and deadline management Assist executives with time management and administrative needs Reporting & Documentation Compile and format detailed reports and presentations Ensure accuracy and consistency of information across documents Track and organise historical records for audits and reference
